AI Coach — Accident Injury Coach

Privacy at AI Coach

Privacy policy

How your information is used when you visit our website or use the Accident Injury Coach app.

Last updated: September 18, 2026

About this policy

This policy covers Accident Injury Coach, also called AI Coach, its mobile app, and accidentinjurycoach.com. AI Coach is operated by Care Connect Technologies, LLC. In this policy, “we” and “our” refer to Care Connect Technologies, LLC. For privacy questions or requests, contact support@accidentinjurycoach.com.

AI Coach provides general accident and insurance education, AI voice conversations, and explanations of insurance documents you choose to upload. Nothing in AI Coach, including its conversations, summaries, document explanations, or resource listings, constitutes legal advice. AI Coach is not a medical device, healthcare provider, law firm, insurer, broker, or lender. Its answers do not diagnose or treat a condition, establish legal rights, determine coverage, or guarantee a claim outcome. Seek advice from a qualified professional for those decisions.

Your content can be sensitive. Conversations and insurance documents can reveal injuries, treatment, financial circumstances, policy details, and information about other people. Share only what is needed for the help you want, and only information you have the right to provide.

Information we handle

Account and profile information

We collect your phone number to send a sign-in code and identify your account. Your profile includes your name, ZIP code, and state. If you previously provided additional profile fields, such as a street address or date of birth, those may remain with your profile until changed or deleted. We also maintain account identifiers, sign-in sessions, verification-request records, and related timestamps.

Voice conversations

Calls are recorded. When you start a coach call, your microphone audio and what you say are sent to our voice service provider to understand you and generate spoken responses. Conversation data includes audio recordings, transcripts, AI-generated summaries, call identifiers, dates, duration, and connection or processing status. Anything you say about an accident, injury, treatment, insurance, or finances can become part of the conversation.

Insurance uploads and generated information

We receive the PDFs or images you choose to upload, including photographs of insurance documents, their filenames, file types, and associated upload information. These documents may contain names, addresses, policy or member numbers, vehicle information, listed drivers, coverage limits, deductibles, premiums, and health or financial information. We also store extracted text, document classifications, generated explanations and summaries, source references, and corrections you make.

Information stored on your device

The app stores plan progress, preferences, your acknowledgment of the voice notice, cached profile information, and document viewing copies on your device. Native iPhone and Android sign-in credentials use the operating system's secure credential storage. Clearing local data and deleting your server account are separate actions.

Technical information and support requests

Our website, app, hosting, and communications providers process connection information such as IP addresses and information needed to deliver requests. Operational records can include request identifiers, app or platform versions, request timing, response status, and error categories. We use these to operate, secure, and troubleshoot the service. When you submit a support or deletion form, we receive your name, reply email, request category and message, and any account phone number or deletion scope you provide. Form submissions include available browser and device information (such as browser version, operating-system/platform hints, mobile indicator, language, time zone, screen and viewport sizes, pixel ratio, touch support, processor/memory hints, connection information, and privacy preferences), the page and referring-site origin, submission time, and the IP address reported with the request. These details help us troubleshoot, understand request context, and prevent abuse. Browser settings may limit which details are available. They are included with your request in the email delivered to our authorized team members through Resend.

A ZIP code or location you enter or mention is information you provide. The website forms also offer an optional location-sharing control. If you choose it and allow your browser to access location, we include the coordinates, accuracy, capture time, and any available altitude, direction, or speed information with the request. This can reveal your precise location. You can remove it before submitting, and sharing location is not required for support or deletion. We do not infer a verified home address from an IP address or time zone. The app uses device permissions for features such as microphone access and document capture. Additional notices and choices may apply when features or advertising technologies change.

How we use information

  • Verify phone sign-in, maintain your account, and show your saved profile.
  • Provide live AI conversations and make available your recent conversation transcripts and summaries.
  • Store, read, classify, and explain uploaded insurance documents, including using their summaries during coach calls.
  • Show educational content and save your app preferences and plan progress.
  • Support connections with lawyers and other resource providers, and display resource listings, including sponsored advertising placements.
  • Connect your experience with MyCaseCare when you sign up for both companion services, subject to the notices, permissions, and choices that apply.
  • Respond to support and privacy requests, correct problems, and process deletion requests.
  • Protect accounts, enforce request limits, prevent abuse, monitor service reliability, and meet applicable legal obligations.

Our use and disclosure of information in connection with referrals, companion services, and advertising is governed by this policy and applicable notices, permissions, and legal requirements. Where applicable law gives you a right to opt out of particular uses or disclosures, including activities defined as a sale or sharing of personal information, you may contact us through support to exercise that right.

Voice & document AI

Voice calls use ElevenLabs. Audio and conversation content are processed by ElevenLabs and the speech and language-model services used to provide its AI responses. Voice processing takes place outside your device, and call recordings are stored by our voice service provider. Transcripts and summaries are returned to AI Coach so you can view your recent history.

Your uploaded insurance information can be used during a call. When a call starts, the coach can check whether insurance information is available and retrieve your document summaries to answer questions. These summaries and their relevant context are sent to the voice service. The voice tool does not send original file attachments, but a summary can still contain personal or sensitive information from the document.

Document processing uses Amazon Bedrock and Amazon Nova. Your uploaded document content is processed to recognize the kind of document, extract information, and generate insurance explanations. Your corrections and generated results remain associated with the document.

AI output can be inaccurate or incomplete. Verify it against the original policy and ask an appropriate professional before relying on it. The coach's explanation does not submit an insurance claim, establish coverage, or create an attorney–client relationship. Connections to professionals and sharing with MyCaseCare are described below.

Service providers & sharing

These services process information to operate AI Coach:

  • Amazon Web Services (AWS): hosts the backend, database, private document storage, operational monitoring, and document AI through Amazon Bedrock.
  • ElevenLabs: provides live AI voice conversations and processes the audio, conversation content, and insurance summaries used in those calls.
  • Microsoft Azure: hosts the public website and delivers phone verification messages through Azure Communication Services. SMS delivery involves your mobile carrier.
  • Expo: supports app software-update delivery, which involves technical information needed to request and deliver a compatible update.
  • Resend and support communications providers: deliver support and deletion form submissions to our team, including the contact details and request content you submit, and handle subsequent correspondence.

Authorized personnel may access information when needed to operate the service, investigate a problem, protect accounts, or handle your request. We may also disclose information when required by law or a valid legal process, or when necessary to protect the rights, security, or safety of users and the service.

Lawyers and other resource providers

We may share relevant contact, accident, insurance, or other information with lawyers, healthcare providers, repair shops, financial-resource providers, or other participants to facilitate connections, respond to your requests, or support services available through AI Coach. The information involved depends on the interaction and any notices, permissions, and choices that apply. Information handled by an independent provider is also subject to that provider's privacy practices and professional obligations.

MyCaseCare companion app

MyCaseCare is a companion app of AI Coach, also owned by Care Connect Technologies, LLC. If you sign up for MyCaseCare as an AI Coach user, or sign up for AI Coach as a MyCaseCare user, information may be shared between the services to recognize your accounts, connect your experience, and support the features you use. Depending on those features, this may include account and profile information, documents, and other information you provide. Applicable notices, permissions, and privacy choices govern that sharing. MyCaseCare's privacy policy also applies to your use of MyCaseCare.

Sponsored listings and advertising

Vendors in the mobile app's Resources section may pay Care Connect Technologies, LLC for advertising or sponsored placement. Payment can affect a listing's visibility or placement. Sponsored placements are identified as advertising or sponsored results where they appear. A paid listing does not establish the provider's suitability for you or guarantee an outcome. Advertising relationships and related information uses remain subject to applicable notices and privacy choices.

Opening an external map, website, or app-store link connects you to that service, whose privacy practices apply to your interaction there.

Retention & deletion

  • Account and insurance documents: your profile, active uploads, extracted information, corrections, and generated summaries remain until you remove them or your account is deleted.
  • Conversation history and recordings: AI Coach schedules transcript and summary content for deletion seven days after a conversation starts, unless deleted sooner. Background cleanup can take additional time. The voice service is configured with a seven-day transcript retention period. Audio recordings are held by the voice service provider and are included in conversation-data deletion requests. Deletion from provider systems is requested and retried separately.
  • Deleted or replaced files: deleted files become unavailable through your account first. Replaced versions and their derived results are retired and removed through background cleanup. Stored copies are removed after the applicable upload or replacement safety window; failures are retried. Unfinished upload copies also expire through storage cleanup.
  • Voice deletion records: minimal identifiers and deletion status remain for at least 90 days after deletion and until provider cleanup succeeds, so delayed provider messages do not restore deleted conversation content.
  • Verification and security records: sign-in codes expire after five minutes. Account deletion invalidates pending codes and sessions, but limited phone-number and verification-request records remain separately to enforce SMS limits and prevent abuse. Their removal is handled through operational cleanup, not the account-deletion action.
  • Backups and logs: automated database backups have a seven-day retention window. Separately retained recovery snapshots can last longer. Document-processing logs are retained for 30 days. Other security, support, or legal records may remain for the purpose requiring their retention.
  • Local copies: app data, downloaded files, and device backups can remain on your devices or backup services until you remove them using the relevant app or device controls.

Deletion is not a promise that every copy disappears immediately. Background cleanup, service providers, recovery backups, and records required for security or legal reasons can have different lifetimes. If an exception affects a deletion request, we will explain it when responding.

See account and data deletion for a request you can make without access to the app, what is deleted, and what may remain.

Your choices & requests

  • Microphone: allow it to use voice calls, end a call when you want to stop, or revoke access in your phone's settings. Ending a call does not by itself delete its history.
  • Camera, photos, and files: choose whether to take a document photograph or select an existing image or file. The app uses the content you select; uploading documents is optional.
  • Profile and document corrections: edit your profile in the app and review or correct extracted insurance information where the app offers that control.
  • Deletion: remove a document in My declaration page, or request deletion of selected data or your full account through our deletion page. Clearing the app's local data or uninstalling does not delete the server account.
  • Privacy requests: email support@accidentinjurycoach.com to request access to, a copy of, correction of, or deletion of your information. Where applicable law provides additional rights, you can also request restriction of processing, object, withdraw consent, or ask us to review our response.

We may need to verify account ownership to protect your information. We will explain any information needed, any applicable exception, and the outcome of your request. Withdrawing permission does not undo processing already performed, and a feature that needs the information may no longer work. You may also contact the privacy regulator responsible for your location.

Security & processing locations

We use HTTPS for connections to the AI Coach service, private document storage, encryption for hosted storage and databases, and access controls tied to your account. Document download links are temporary. Native mobile credentials use secure operating-system storage. These safeguards reduce risk; no storage system or transmission method can guarantee absolute security.

The AI Coach backend and document storage are hosted in the United States. Document AI can process content in more than one US AWS region. Our other service providers may process information in the countries where they operate. Your information may therefore be processed outside the state or country where you live.

Ordinary app use does not create a doctor–patient or attorney–client relationship. Do not use AI Coach as a medical record system or send unnecessary sensitive information to support.

Children & other people’s data

AI Coach is a general accident-education service and is not directed to children under 13. If you believe a child under 13 has provided personal information, contact support@accidentinjurycoach.com so we can investigate and arrange appropriate deletion.

Insurance policies and accident discussions may identify family members, other drivers, or passengers. Only provide another person's information if you are authorized to do so, and avoid details that are unnecessary for the explanation you need.

Changes & contact

We will update this page when our practices change and show the new date above. If a change requires notice or permission, we will provide it through an appropriate channel before the new processing takes place.

For privacy questions and requests, use our support form or email support@accidentinjurycoach.com. You can also request account and data deletion. Our Terms & Conditions explain the rules for using AI Coach.
